Salary:
Salary range $3,288 -$5,983 per month (Anticipated hiring salary: $3,288 per month)
Note: This is a full-time (40 hours per week), probationary, non-exempt position

Organizational Description:

The College of Science and Mathematics, which consists of 108full-timefaculty and 134 part- time faculty, provides study for students in the areas of biology, chemistry, computer science, earth and environmental sciences, mathematics, physics, and psychology. Their goal is to provide professional training at the undergraduate and graduate levels to serve as a foundation for careers in science or mathematics, to provide pre-professional training in preparation for careers in medicine, dentistry, pharmacy, veterinary medicine and other professions, and for continued study at the graduate level.

The college supports courses for non-science majors such as agriculture, engineering, and the health professions and courses for general education of all university students are also offered through the college. The College currently hoststhe following Research Centers:Science and Math Education Center (SMEC) and the Downing Planetarium. In addition to formal partnerships with the Water Institute, theCentral CaliforniaChildren's Institute, Moss Landing Marine Laboratories, and other entities,the College is involved inCSUcollaborations with the CSUPERB and COAST initiatives and an international partnership with ATLAS/CERN. Currently the College, which has3,800undergraduate students and over 100 graduate students, offers 11 undergraduate majors and 12 graduate majors. Faculty within the college typically generates $4,000,000 in external funds.

Overview:
Under general direction of the Dean of the College of Science and Mathematics, the Administrative Analyst Specialist supports the dean and the college operations in the day-to-day administration of the Dean's Office. This position will perform a variety of administrative and analytical duties and projects to elevate the college and its mission and initiatives. Responsibilities will include coordination of projects in order to ensure college efficiency and quality as well as building communications and relationships on behalf of the College.

Position Summary:
  • Provide administrative and analytical support to the Dean and Associate Dean, sometimes sensitive and confidential in nature
  • Coordinate Dean and Associate Dean calendars and use discretion in prioritizing appointments
  • Determine and coordinate preparation of background materials needed for meetings and activities
  • Coordinate all travel arrangements for Dean and Associate Dean
  • Provide administrative support to Dean on tenure track searches ensuring procedures, policies and deadlines are met
  • Coordinate and prepare all faculty relocation claims
  • Process and finalize class scheduling for the college and analyze the college assigned classrooms
  • Act as the college's liaison to the university scheduling office
  • Coordinate college programs from RFP, selection process to award letters
  • Provide administrative support to dean and associate dean for complex RTP process, probationary plans, sabbatical leave requests, FERP requests and Emeriti requests
  • Manage college scholarship and tuition waiver programs in coordination with the scholarship office and the college departments
  • Coordinate college committees from election process through scheduling of meetings, preparation of meeting materials, documenting meeting notes and uploading meeting to Blackboard
  • Review and process curriculum proposals
  • Assist with curriculum submissions: attend meetings, process, track, and monitor submissions using initiative and judgment
  • Process and submit Dean's Medalist and Standard Bearer information
  • Support the implementation of college events through completion (includingbut not limited to Academic Assemblies, Commencement Ceremony, Faculty Workshops, Meetings, Staff and Department Chair Retreats as well as other college events)
Secondary Duties of the job include:
  • Serve on a variety of committees as assigned

Knowledge, Skills & Abilities:
  • Working knowledge of general practices applicable to a university college or dean's office
  • Working knowledge of budget policies and procedures
  • Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them
Ability to:
  • Learn, interpret, and apply a wide variety of policies and procedures relating to a university college or dean's office
  • Analyze data and make accurate projections using business mathematics and basic statistical techniques
  • Organize and plan work and projects including handling multiple priorities
  • Make independent decisions and exercise sound judgment
  • Compile, write, and present reports
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit

Education and Experience:
  • Bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation of administrative policies, procedures, practices, or programs
  • Five yearsof related work experience

Preferred Skills:
  • Working knowledge of operational and fiscal analysis and techniques
  • Strong attention to detail and ability to quickly understand details about projects
  • Excellent communication and interpersonal skills, and able to work in a team environment.
  • Experience and understanding of state and non-state use funds
  • Experience with special event planning
  • Experience with Peoplesoft HRSA modules - curriculum management, e-recruit, temporary faculty, and student management
  • Comprehensive experience with PC using Word, Excel, PowerPoint, email and the Internet
  • Experience with Collective Bargaining Agreements
