Assistant Director of Construction Records/Archives
Job Summary:
Serves in an administrative and supervisory role for the department by overseeing daily operations for managing staff and records inventories.
Essential Duties and Responsibilities:
Oversee daily operations of the Architectural, Engineering, & Construction (A.E.C.) Records Repository, its programs, staff, and records inventories. Train and supervise subordinate staff.
Collect, retain, and preserve the College's building plans, blueprints, plant maps, architectural drawings, engineering designs, construction files, and other supportive materials (i.e., warranties, legal descriptions, cost estimates, and operational manuals).
Process incoming records for storage needs and final disposition requirements. Organize records and develop classification systems. Assess, arrange, describe, maintain, and preserve records according to recognized archival principles and standards. Compile record inventories, descriptions, and finding aids to facilitate access to them. Coordinate the secure transfer and disposal of records.
Act as a records liaison for various construction projects and initiatives. Research, read, interpret and provide copies of building plans and real property information to internal/external customers.
Upgrade CMMS (TMA) listings and build new records for the THECB space nomenclature. Update Colleague databases to match TMA and renovated spaces. Scan and catalog architectural drawings and maps to electronic format for inclusion in the enterprise content management systems.
Retain permanently documentation of record transfers and destruction. Compile and maintain departmental records access authorization lists. Compile periodical statistical and work activity reports.
Interact closely with records liaison officers to ensure consistency and compliance with the College's record keeping policies. Maintain confidentiality of sensitive information.
Attends the workplace regularly, reports to work punctually and follows a work schedule to keep up with the demands of the worksite.

Bachelor's degree in architecture, engineering, construction, archives, records management or related field and one (1) year of work related experience; or any equivalent combination of education, training, certification, and related experience
One (1) year of supervisory experience
